HR/Finance Assistant
About the Role
The HR/Finance Assistant provides administrative and operational support to both the Human Resources and Finance departments. This role is responsible for assisting with employee records, payroll, recruitment coordination, onboarding and benefits administration, while also supporting finance tasks such as expense tracking, invoice processing, and reporting. The ideal candidate is detail-oriented, organized, and able to handle sensitive information with discretion. This position is based out of our Reading, PA home office location and is not a remote position.
Key Responsibilities
Human Resources Support:
- Assist with onboarding, including preparing new hire paperwork, setting up employee files, and coordinating orientation.
- Maintain accurate and up-to-date employee records (digital and hard copy).
- Support recruitment efforts by posting job openings, scheduling interviews, and communicating with candidates.
- Help administer benefits programs, including enrollments, changes, and employee inquiries.
- Track employee attendance, leave requests, and maintain related documentation.
- Assist with HR compliance reporting and audits.
Finance Support:
- Assist with payroll reconciliation and approval.
- Prepare and process expense reports, vendor invoices, and employee reimbursements.
- Support accounts payable and receivable functions.
- Help maintain financial records and ensure supporting documentation is accurate and complete.
- Assist with monthly financial reporting, reconciliations, and data entry into accounting systems.
- Support internal audits and compliance checks as needed.
General Administration:
- Maintain confidentiality of sensitive information.
- Provide cross-functional support to both HR and Finance teams as needed.
- Assist in developing and improving internal processes.
- Perform other administrative tasks as assigned.
Qualifications:
- Associate’s or Bachelor’s degree in Business Administration, Accounting, Human Resources, or related field (preferred).
- 1–3 years of experience in HR, finance, or administrative support.
- Basic understanding of HR practices and accounting principles.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook); familiarity with HRIS and/or accounting software is a plus.
- Working knowledge of Monday.com and QuickBooks.
- Strong attention to detail, organization, and time management skills.
- Excellent communication and interpersonal skills.
- Ability to handle confidential information with integrity.
